What a Server Project Actually Involves


Quick Answer

A server implementation is four decisions and then the installation. The decisions are: what the hardware has to do (which determines cores, memory, disk type and capacity), how it will be virtualised (which is now as much a licensing question as a technical one), where the data lives and how it is protected, and what happens when the hardware fails at 2am. Get those four right and the physical build is the easy part.

The most common failure we are called in to fix is not a bad server. It is a correctly specified server with no working backup, no out-of-band management configured, no documentation, and a warranty that expired eighteen months ago without anyone noticing. Virtualisation

The Licensing Question That Now Drives the Hardware Design


Virtualisation used to be a technical choice. Since Broadcom's changes to VMware licensing it is a budget decision that should be made before you order the server — because the core count you buy directly determines what you pay.

What Changed

VMware moved to subscription licensing with a minimum purchase of 72 cores per product order, in force since 10 April 2025, alongside a floor of 16 cores per socket. Whichever total is higher is what you license. For a large cluster that changes little. For a typical UAE SME running one or two hosts with modest core counts, it means paying for substantially more cores than the hardware physically has.

That is not a reason to panic, and it is not automatically a reason to leave VMware. It is a reason to price the licensing before choosing the hardware, which is the reverse of how most server quotations are put together.

Still the most capable platform, and the right answer when you already run it at scale, depend on its ecosystem, or have a cluster large enough that the core minimum is irrelevant. Staff familiarity and existing tooling have real value — migrating a working environment is not free either.

A serious option for Linux-heavy workloads, test and development environments, and businesses whose VMware renewal has become disproportionate to the size of the estate. It needs a team comfortable with Linux — we will say so if that is not you.

We price the licensing for your actual core count across all three, put the five-year cost side by side with the migration effort, and let you decide with numbers in front of you. VMware licensing terms have changed several times since 2024 and may change again — confirm current terms with Broadcom or your licensing reseller before signing anything. The figures above reflect the position as at August 2026.

Storage & Backup

Where the Data Lives, and How You Get It Back


Storage design and backup design are the same conversation. Most of the data-loss incidents we are called to could have been prevented by decisions made on the day the server was specified.

  • Internal RAID arrays sized and configured for the workload — SSD or NVMe where the application is transaction-heavy, larger spinning disk where it is archive and file data, with hot spares configured rather than sitting in a drawer.
  • Synology NAS for file services, departmental shares, surveillance storage and backup targets — the most common answer for a UAE SME that needs capacity rather than raw speed.
  • Shared and direct-attached storage arrays where a virtualisation cluster needs shared storage for failover, or a host needs expansion beyond its internal bays.
  • Capacity planning with headroom. An array sized to today's data fills within the warranty period. We size on growth rate, not on current usage.

Backup that is actually a backup

  • Veeam, NAKIVO or Synology configured against agreed recovery point and recovery time objectives — that is, how much data you can afford to lose and how long you can afford to be down. Both are business decisions, not technical ones.
  • Three copies, two media, one off-site. The old rule still holds, and an immutable or offline copy is what stands between you and a ransomware event that encrypts the backup along with the server.
  • Restore testing on a schedule, with the results written down. A backup nobody has restored is a theory, not a backup — and the day you discover the difference is always the worst possible day.
  • Monitored jobs. Failed backup jobs alert to someone who will act. The most common finding in our health checks is a backup that has been failing silently for months.
  • Data residency considered. Where your backup copy physically sits is a compliance question for some UAE sectors, not just a technical one. We confirm it at design stage.
Lifecycle

Two Deadlines Worth Putting in Your Budget Now


Server projects are rarely urgent until they are extremely urgent. These are the two dates that turn a planned refresh into an emergency.

1. Windows Server 2016 support ends 12 January 2027

After that date there are no security updates for Windows Server 2016 unless you buy Extended Security Updates. Given how many UAE businesses installed 2016 during its long run, this affects a great many file, application and domain controllers still in daily service.

  • The options are the usual three: upgrade in place to a current release, rebuild on new hardware and migrate the roles, or buy Extended Security Updates to bridge a gap you have a plan to close.
  • Check the hardware at the same time. A server running 2016 is often old enough that the operating system upgrade and the hardware refresh are one project rather than two.
  • Windows Server 2025 is the current release and the sensible target for a rebuild, unless a specific application dictates otherwise.

2. The warranty date nobody diarised

Hardware support contracts expire quietly. The failure mode is familiar: a disk or power supply fails, the part is no longer stocked in the region, and a four-hour fix becomes a week of waiting while the business runs on one host.

  • Know your dates. Every server we hand over has its warranty and support end date in the documentation, and under a managed contract we track them and raise them before renewal, not after expiry.
  • Extend or refresh deliberately. Support extension is usually cheaper than replacement for a year or two — until the point where it is not, and that crossover is worth calculating rather than guessing.
  • Keep a spare-parts position for anything genuinely critical and out of warranty, particularly disks from the same batch, which have an unhelpful habit of failing together.

Verify the dates that apply to you: Microsoft publishes lifecycle dates per product and edition, and vendors set their own hardware support windows per model and region. The dates above are correct as at August 2026 — confirm your specific products before building a budget on them.

Cost

What Drives a Server Quotation — and How to Compare Two


Two server quotations for what looks like the same requirement routinely differ by half. Almost always the gap is in these six lines rather than in the margin.

What moves the price

  • Processor and core count. Now doubly important, because cores drive the virtualisation licence as well as the hardware price.
  • Memory and disk. The two components most often cut to win a quotation and most often regretted — and both are cheaper fitted at build than added later.
  • Redundancy level. Dual power supplies, hot-spare disks, a second host for failover. Each is a real cost buying a real reduction in downtime risk.
  • Warranty and response time. Next-business-day versus four-hour response is a meaningful line item, and the right answer depends on what an hour of downtime costs you.
  • Software licensing. Windows Server edition and CALs, hypervisor, backup software. Frequently more than the hardware, and frequently excluded from the cheaper quotation.
  • Migration effort. Moving from the old server is usually the largest labour line and the easiest one to omit.

Five questions to ask every supplier

  • “Is the licensing included, and which edition?” Windows Server Standard and Datacenter differ enormously once virtual machines are involved.
  • “What warranty, for how long, with what response time, in which emirate?” Regional response is the part that matters at 2am.
  • “Who does the migration, and is it in this price?” “Supply and install” often means the box is racked and powered on.
  • “What is the backup design, and who tests the restore?” If backup is not in the quotation, the project is not finished.
  • “What documentation do I receive?” If the answer is vague, you are buying a dependency rather than a server.

Why there is no price on this page: server pricing moves with component supply, vendor promotions and exchange rates, and a figure published today would be wrong within weeks. More importantly, a quotation given before anyone has seen your workload is a guess. We do the health check, size it against what you actually run, and quote in AED with hardware, licensing, labour and migration itemised separately so you can compare it properly against anyone else's.

We look at what you run today — hardware, age, warranty status, RAID health, capacity, operating system versions, backup status and whether anything has ever been restored. You get a written report ranked by risk, with sizing recommendations. No charge, and useful even if you buy elsewhere.

Design and itemised quotation

Hardware specification, virtualisation platform with its licensing costed, storage layout, backup design and migration plan — each priced as its own line in AED. If the honest answer is that your existing server needs more memory and a working backup rather than replacement, that is what the document will say.

Build and staging

Firmware baselined, RAID configured, hypervisor and operating systems installed, roles built and tested before the hardware goes anywhere near production. Problems found on the bench cost hours; the same problems found during a cutover cost a weekend.

Migration and cutover

Data, roles and applications migrated on an agreed date, out of hours where the business needs it, with the old environment kept intact and reversible until the new one has proven itself through a full working week — including a month-end if your finance team depends on it.

Which is better for a UAE business: HPE, Dell or Lenovo?

At the sizes most UAE businesses buy, all three are reliable and the hardware difference is smaller than the brochures suggest. What actually separates them for you is regional support response for your emirate, which management console your team will live with day to day — iLO on HPE, iDRAC on Dell, XClarity on Lenovo — and what the same budget buys in the current quarter, which moves with promotions and component supply. How much does a server cost in Dubai?

The hardware is only part of it, which is why quotations vary so widely. The full cost is driven by processor and core count, memory and disk, redundancy level, warranty and response time, software licensing (Windows Server edition and CALs, hypervisor, backup software) and the migration labour to move off the old environment. Licensing frequently exceeds the hardware cost and is the item most often quietly excluded from a cheap quotation. Server pricing also moves with component supply and exchange rates, so any published figure ages badly. Ask every supplier for hardware, licensing, labour and migration as separate lines — that is the only way to compare two quotations fairly.

Do we still need an on-premises server, or should we move to the cloud?

It depends on three things: what your applications need, what your internet connection can carry, and where your data is required to sit. Line-of-business and ERP applications that expect low-latency local access, large design or media files, and manufacturing or POS systems that must keep working when the internet does not, all still favour a local server. Email, collaboration and general file storage moved to cloud years ago for good reason. Most UAE SMEs we work with end up hybrid rather than fully either way. We will model both and tell you when the honest answer is that your current server needs more memory and a working backup rather than a migration project.

What size server do we need?

Sizing comes from what you actually run, not from headcount alone: how many virtual machines and what each does, database sizes and growth rate, concurrent users on the busiest application, file storage volumes and how fast they are growing, and how much headroom you want over the warranty period. Two considerations matter more than they used to. Cores now drive the virtualisation licence as well as the hardware price, so core count is a budget decision. And memory and disk are far cheaper fitted at build than added in year two. The free health check produces a written sizing recommendation from your real workload.

Windows Server 2016 support ends in January 2027. What are our options?

Extended support for Windows Server 2016 ends on 12 January 2027, after which there are no security updates without paid Extended Security Updates. You have three routes: upgrade in place to a current release, rebuild on new hardware and migrate the roles across, or buy Extended Security Updates as a bridge while you execute a plan. Because Windows Server 2016 has been in service a long time, the hardware running it is usually old enough that the operating system upgrade and the hardware refresh make sense as one project. Has VMware licensing really changed that much, and should we move off it?

It has changed materially. Under Broadcom, VMware moved to subscription licensing with a minimum purchase of 72 cores per product order, in force since 10 April 2025, plus a floor of 16 cores per socket. For a large cluster that is barely noticeable. For a small business running one or two hosts with modest core counts, it means licensing considerably more cores than you physically own. Whether to move is a separate question: migrating a working environment costs money and risk too, and staff familiarity has real value. We price the five-year cost of vSphere, Hyper-V and Proxmox against your actual core count and set it beside the migration effort. Confirm current terms with Broadcom or your reseller before committing — these terms have changed more than once.

Tower or rack server?

Rack, if you have or can build a rack. It is easier to secure, easier to cool, easier to cable tidily and far easier to expand, and the incremental cost over a tower is small once a rack exists. A tower makes sense for a first server in an office with no comms room, a small branch, or a site where there is genuinely nowhere to put a rack. If we are building the comms room anyway as part of cabling and rack work, rack is almost always the better answer — and worth doing properly, since a sealed cupboard with no ventilation is the most common cause of unexplained hardware failure in a UAE summer.

Can you migrate our data and applications from the old server?

Yes — migration is normally the largest labour line in a server project and we quote it explicitly rather than folding it into "installation". That covers file data and permissions, Active Directory and domain roles, application and database servers, print services, and physical-to-virtual conversion where an old machine is being brought onto a hypervisor. Cutover happens on an agreed date, out of hours where the business needs it, and the old environment stays intact and reversible until the new one has proven itself through a full working week — including a month-end if your finance team depends on it.

What RAID level should we use?

It should be chosen for the workload rather than by habit. Mirroring suits boot volumes and small transaction-heavy datasets where write performance and simple rebuilds matter. Parity-based arrays suit large file and archive volumes where capacity efficiency matters more, but rebuild times on large modern disks are long and the array is vulnerable during that window — which is why we configure hot spares as standard rather than leaving them in a drawer. Two things are true regardless of level: RAID protects against disk failure, not against deletion, corruption or ransomware; and it is never a substitute for a tested backup.

Do you supply the hardware, or only install it?

Both. We supply HPE, Dell and Lenovo hardware with the correct regional warranty and support level, or we will install and configure equipment you have bought elsewhere — including hardware that arrived with a project we were not involved in. If you are buying the hardware yourself, talk to us before you order rather than after: the specification decisions that are expensive to reverse, particularly core count, memory, disk type and warranty response level, are all made at the point of order.

What warranty and support level should we buy?

Buy the response time your downtime cost justifies. Next-business-day on-site is the sensible minimum for any production server. Four-hour response costs meaningfully more and earns it when an hour of downtime stops the business — a manufacturing line, a busy retail operation, a logistics business. Match the term to your intended refresh cycle so the warranty does not expire with years of service life left. The critical detail people miss is that response times and parts availability are regional: confirm what is actually committed for your emirate, not the global headline. Every server we hand over carries its warranty end date in the documentation.

Do you provide ongoing support after installation?

Yes, and it is optional — there is no obligation to take a contract to have the work done. Ongoing cover can be a managed IT contract that includes 24/7 monitoring, patching, backup management and restore testing, an IT support agreement, or per-visit support as needed. What we would encourage regardless of who provides it: somebody should be monitoring hardware health, backup job results and warranty dates. Those three unwatched items account for most of the emergency server work we are called into.
